Kiltie Band Constitution

I. Membership

Membership is open to all members of the campus/community without audition. Participants must do their best to promote the success of the ensemble through attendance, attitude, and dependability.

II. Executive Board

The executive board shall consist of all elected officers, one alumnus/alumna (appointed by the Band Director) and the Band Director. They shall meet on a consistent basis to resolve current tasks regarding band logistics.

III. Offices

A. President
     1. act as official representative of the band
     2. relate to and communicate with the Band Director
     3. communicate with the administration
     4. communicate with the Student Senate and represent the band
         at any budget hearings
     5. work with the Band Director to maintain expenditures within
         budget limits
     6. efficiently coordinate, delegate, and follow up with tasks of officers
     7. authorize, in accordance with the Band Director, expenditures
     8. maintain and keep up-to-date the Kiltie Band Discord server

B. Vice President for Marching Band
     1. transport the conducting ladder to and from dress rehearsals
         and game performances
     2. transport the portable public address system to and from all rehearsals
     3. in conjunction with the officers, set up seat covers in the seating area
         for the Kiltie Band
     4. clean and fill water coolers for use in the stands during games
     5. see to it that the pregame and halftime scripts get to the public
         address announcer
     6. open and close the band room 20-30 minutes prior to and
         after any performance or rehearsal
     7. with the assistance of the Vice President for Concert Band,
         properly issue and maintain the complete band uniform;
         this includes neat organization after each performance,
         maintaining a current inventory of all uniform parts, and
         providing a list of used jackets and kilts to the Band Director
         for dry-cleaning over the summer
     8. assist the Vice President for Concert Band with properly issuing
         and maintaining Kiltie Band instruments and equipment; this includes
         neat organization between rehearsals and performances and completing
         usage contracts with band members

C. Vice President for Concert Band
     1. in conjunction with the officers, set up the rehearsal room so that
         it is ready at least 15 minutes prior to starting time, this includes
         transporting all stands, chairs, music and percussion equipment
     2. in conjunction with the officers, set up any performance site so that
         it is ready at least 15 minutes prior to starting time, this includes all
         stands, chairs, music and percussion equipment
     3. make all necessary arrangements and handle sales of the
         annual band photograph
     4. with the assistance of the Vice President for Marching Band,
         properly issue and maintain Kiltie Band instruments and equipment;
         this includes neat organization between rehearsals and performances,
         completing usage contracts with band members, maintaining a current
         inventory of all Kiltie Band instruments and equipment, and providing
         a list of maintenance needs to the Band Director for repairs
     5. assist the Vice President for Marching Band with properly issuing and
         maintaining the complete band uniform; this includes neat
         organization after each performance
     6. take orders for, purchase and distribute ice cold beverages after
         half-time performances

D. Vice President for Public Relations
     1. edit and publish editions of the Kiltie Times
     2. coordinate the painting of the fence prior to Spring Carnival
     3. coordinate the conception, production and sales of all Kiltie Band
         T-shirts, be it for Spring Carnival, Homecoming or general fundraising
     4. organize advertisements of the Homecoming, Scatter Show, Holiday,
         Mid-Winter and Spring Carnival performances, as well as for recruitment
     5. design and create a big “Happy Holidays” sign for the annual
         Holiday Concert
     6. place any necessary advertisements in the Tartan
     7. maintain and keep up-to-date the Kiltie Band website,
         Facebook page, Instagram page, and d-lists

E. Secretary
     1. keep accurate records of rehearsal and performance attendance
         to be shared with the Band Director
     2. generate, and verify with the Band Director, an accurate list of
         those eligible for band jackets; contact individuals on said list
         in late January/early February for fitting and customization requests,
         then pass that information on to the proper person in the Athletic
         Department for placing the order
     3. conceive the 'question of the day' and place responses on the Discord
     4. assist with maintaining and keeping current the band's active roster

F. Librarian
     1. maintain a current online database for both marching and
         concert band music
     2. scan and copy music as necessary
     3. oversee the placement of music in respective folders
     4. oversee putting away music at the end of the year
     5. issue and collect all marching band music
     6. issue, inventory and collect all flip folders
     7. be ready to supply any student with a missing part

IV. Selection of Drum Major

A. Selection of a drum major shall be at the discretion of the Band Director
B. The Band Director shall determine the specific duties of the Drum Major

V. Election Procedures

A. Elections shall be held during the second-to-last or last home football
     game of the year
B. Only current sophomores, juniors, and seniors shall be eligible
     1. Nominees must be returning to CMU as a student the following
         Fall semester
     2. Nominees are expected to participate in both concert and marching
         seasons with the Kiltie Band
C. Nominations for all offices shall be opened at least two weeks
     prior to elections
D. All nominees shall be given the opportunity to present a brief speech
     to the band
E. All voting will be conducted by secret online ballot
F. Individuals submitting multiple ballots will void any and all of their votes
G. The Band Director shall be in charge of counting the votes
H. A simple majority is needed for election
     1. A resolution of ties shall be decided by the Band Director
     2. If a student is nominated for and has the majority vote for multiple
         offices, the Band Director will address the situation with the student;
         after the student has selected which of the offices they wish to hold,
         the other office(s) will go to the student with the next majority vote

VI. Succession of Office

A. If the President resigns, the Vice President for Marching Band succeeds
     followed by the Vice President for Concert Band
B. All other vacancies shall be filled by consulting election results for the
     candidate with the next majority vote, then appointment by the
     Band Director

VII. Removal of Officer

A. Any complaints or concerns be they individual or group shall be brought
     to the attention of the Band Director
B. The Band Director will speak with the particular individual
C. If the problems continue the officer in question will be asked to resign

VIII. Rewards

A. An invitation to the annual End-of-Year Ice Cream Social shall be issued
     to anyone having one semester of credited service that year
B. A letter jacket shall be awarded to anyone having four semesters of
     credited band participation
C. A credited semester is defined as attendance at 70% of all rehearsals and
     100% attendance at performances unless specifically excused by the
     Band Director

IX. Amendments

A. Motions for amendments will be presented to the band for discussion
B. Amendments will be approved by a two-thirds majority
